Subject: Adjustment of Missing Credits
It has been noticed that procedure for adjustment of missing credits is not being carefully followed with the result that the number of missing % credits of the Government Servants are increasing day by day. I am accordingly to request that to avoid hardship to the Government Servants, adjustment of missing credits should be carried out on collateral evidence only immediately in collaboration with the Treasury / Audit Office. The correct procedure is re-produced below :-
(a) FOR GAZETTED OFFICERS
(i) Where audit register is available the credits are adjusted with the help of entries in the register.
(ii) Where audit registers are not available, a simple statement of deductions, indicating month and the amount of monthly subscription duly countersigned by the controlling officers concerned are accept. It is sufficient evidence for adjustment of missing credits.
(b) NON-GAZETTED STAFF
In case of non-gaze-ted staff whose pay etc. is drawn by the Drawing and Disbursing Officers, the list
of deduction indicating month and the amount of monthly subscription signed by the Drawing and Disbursing Officers will serve the purpose. It is not necessary to quote the number and date of Voucher, Token No. and Cheque No., etc. The Drawing and Disbursing Office re may verify and sign the lists with the record available in his office or from service book of the subscriber that the wise on duty and G.P. Fund Deductions were actually made.
